Surveillance Procedure

After achieving ISO Certification, it is essential for an organization to maintain and continually improve its management system to ensure ongoing compliance with international standards. The Surveillance Procedure is a key component of the certification process that helps verify the consistent effectiveness of the implemented management system. At RealCare Certification Pvt. Ltd., our surveillance audits are designed to ensure that certified clients continue to meet the requirements of the applicable ISO standard and demonstrate their commitment to continual improvement.

Purpose of Surveillance Audits

The primary objective of surveillance audits is to confirm that the organization’s management system:

  • Remains effective and compliant with the standard requirements.

  • Continues to achieve its intended objectives.

  • Incorporates improvements and corrective actions identified during the previous audits.

  • Maintains records, processes, and policies as per the ISO certification scope.

Surveillance audits help safeguard the credibility of the certification and ensure that the certified organization sustains its reputation for quality and reliability.

Frequency of Surveillance Audits

Surveillance audits are conducted at least once every 12 months following the initial certification decision. The exact frequency and timing depend on the certification cycle and organizational needs. Typically, two surveillance audits are conducted during the three-year certification period before the recertification audit.

Step-by-Step Surveillance Procedure

Step 1: Audit Planning

Our certification team schedules the surveillance audit in advance and informs the client about the audit plan, scope, and schedule. The audit plan covers the key processes, sites, and activities that will be assessed during the visit.

Step 2: Conducting the Surveillance Audit

During the surveillance audit, our qualified auditors visit the organization’s premises to review selected elements of the management system. The audit focuses on:

  • Implementation of corrective actions from the previous audit.

  • Effectiveness of internal audits and management reviews.

  • Achievement of organizational objectives.

  • Handling of customer feedback and complaints.

  • Compliance with statutory and regulatory requirements.

The auditors also evaluate whether any changes in the organization (such as structure, activities, or processes) have impacted the management system’s effectiveness.

Step 3: Audit Reporting

After completing the audit, the auditors prepare a detailed surveillance audit report highlighting compliance status, observations, and areas for improvement. Any nonconformities identified are discussed with the management, and corrective actions are requested within a specified timeframe.

Step 4: Corrective Action and Review

The organization is required to take corrective actions for any identified nonconformities and provide evidence of implementation. Our certification body reviews these actions to confirm their adequacy and effectiveness before maintaining the certification status.

Outcome of Surveillance Audit

If the organization successfully demonstrates continual compliance and improvement, the ISO certification remains valid. However, failure to comply or address nonconformities may result in suspension or withdrawal of the certification.
